Dear Tanya,
I hope your health is at its finest. My face was beaming with joy when your letter from last week. I remember you mentioned your potential visit to Delhi. I was excited to have you with us and I had already made a few plans for the two of us. But unfortunately I just learned that my business was organising a 15-day corporate training programme.
The dates, regrettably, coincide with when you will be coming. But you are welcome to visit my home. I reside in the same house as before, and while I won't be there, a friend of mine can host you. You are welcome to stay in my room and utilise the facilities, including the kitchen and bathroom. There won't be any problems with the food and my friend has agreed to accompany you shopping on Saturday. It has been a while since we last spoke, and it would have been fantastic if everything had worked out for the best. But I'll be visiting Bombay the following month. I look forward to meeting you soon. I want to express my regret for the change in the original plan once more. I am looking forward to a response from you.
Yours truly,
Kritika

Dear Francis,
I was thrilled to receive your letter last week. I was glad to know that you will be visiting me in two weeks. I am more than happy to meet you and have been planning for us to have a fun and memorable time.
However, I would like to add that on the day you are planning to visit i.e on the 24th of February, I will not be available in the city. I will be traveling to my hometown for some important work. I have an interview on the respective date. It took me months to get the interview so it would not be possible for me to reschedule it.
It would take me at least two days to return back to the city. Thus, it would be a great help if you could plan your visit anytime after the 26th of February. You can plan your visit for as long as you want and I assure you will enjoy it thoroughly.
I once again would like to apologize for this change of plan. I am eagerly waiting for your response and looking forward to meeting you.
Yours lovingly,
Patricia

Dear Azul,
I hope you are doing well. I was so glad to know that you will be visiting me in the coming week i.e on the 12th of February. I was eagerly waiting for you to visit me as I made several plans for when you visit.
However, I would like to apologize as next week I will be traveling out of town for an office project. I will be leaving town next week, on 12th February, and will be back on the 18th of February. I cannot refuse to commute for the project work as I am an intricate part of it. It would be even impossible to reschedule it.
I hope you understand the situation and plan your visit anytime after the 18th of February. It would be a great time to visit as the town will be covered in snow. I am cognizant of the love you have for winters, thus, it would be the best time for you to visit.
I would have never asked you to reschedule, but the circumstances are unavoidable. I once again would like to apologize for this inconvenience. I am eagerly waiting for your response.
Looking forward to meeting you.
Yours lovingly,
Susan
